Hospital Records Management for African Hospitals

Replace paper files, disconnected spreadsheets, and manual records with a single secure digital system — purpose-built for hospitals across Sub-Saharan Africa.

Still Managing Patient Records on Paper?

Manual hospital records create problems that compound over time. Most hospital administrators we speak to across Africa are dealing with at least two of these:

Inaccessible records

Patient files stored in separate departments or different buildings. When a patient presents at emergency, their history is unavailable.

Data errors and duplicates

Manual entry creates duplicate records, transcription errors, and lost results. Staff spend hours each week correcting mistakes.

No reporting visibility

Government reporting, insurance billing, and board dashboards all depend on accurate records. Paper-based systems make compliance slow, costly, and error-prone.

One Secure Digital Record for Every Patient

Ksatria’s hospital records management system replaces paper files with a single, secure digital record for every patient. Accessible from any ward. Updated in real time. Backed up automatically.

Built for African realities

Not adapted from a Western system – designed for the clinical and operational constraints of SSA hospitals.

Works offline

On-site server deployment available for facilities with limited or unreliable internet connectivity.

National system integration

DHIS2 live in Ghana and Malawi. NHIMA completing in Zambia. NHIA roadmapped for Nigeria.

KEY FEATURES

What Ksatria's Records Management System Does for Your Hospital

One record per patient

A single master record per patient, linked across all departments. No duplicates, no lost files, no conflicting versions.

Secure, role-based access

Control who sees what. Clinical staff access patient history; admin staff see billing; management sees reporting — each with appropriate permissions.

Digital forms and clinical notes

Doctors and nurses record clinical notes, prescriptions, lab orders, and referrals directly in the system — eliminating paper trails between departments.

Accessible from any ward

Cloud-based records mean outpatient, inpatient, emergency, and pharmacy all work from the same data. No more calling another department for a patient’s file.

Automated reporting

Generate government compliance reports, insurance billing summaries, and board dashboards directly from patient data — in minutes, not days.

National System integration

Where national digital health platforms exist, Ksatria connects directly. DHIS2 integration is live in Ghana and Malawi. NHIMA integration is completing in Zambia. NHIA integration is on the roadmap for Nigeria.

CASE STUDY

From Manual Files to Digital Records — In Weeks

RSIA Wempe Hospital West Kalimantan, Indonesia

Type C women & children’s hospital. Moved from full paper-based records to a single integrated digital system — covering registration, inpatient, pharmacy, and reporting.

"Previously, manual management of medical records faced obstacles including inefficiency and the risk of patient data errors. After using Ksatria, efficiency increased drastically, patient data accuracy is guaranteed, and service monitoring has become more effective."

RSIA Wempe previously ran separate manual systems across its operational units, creating high administrative workload and significant data security risks. After implementing Ksatria, the hospital moved to a single integrated digital system with full staff training completed and the system live within weeks of contract signing.

IMPLEMENTATION

How We Get Your Hospital Records Digital

We have implemented hospital records management systems across more than 40 facilities. Our process is proven, low-risk, and fast.

Discovery & Setup

We assess your current records system, configure Ksatria for your facility’s workflows, and train your team.

Data Migration & Go-Live

Existing records migrated into the system. Staff go live department-by-department to minimise disruption.

Ongoing Support

Continued technical support, system updates, and access to our implementation team. You are never left to manage it alone.

Any Questions? We Have the Answers

Yes. Ksatria offers two deployment modes — cloud-based for facilities with reliable internet, and on-site server deployment for facilities where internet connectivity is limited or unreliable. If your facility cannot guarantee a stable connection, we deploy the system on a local server at your site. It runs fully independently of the internet, with no dependency on external connectivity for day-to-day operations. During the demo we will assess your infrastructure and recommend the right deployment for your facility.

Our target is 30 days from contract signing to go-live for a standard hospital deployment. This includes system configuration, staff training, and data migration. Larger or more complex facilities may take longer — we will give you a specific timeline during the demo.

Existing records can be migrated progressively — you do not need to digitise everything before going live. Most hospitals go live with new patients immediately and migrate historical records over a defined period. We provide guidance and tools for this process.

Yes. Ksatria supports national health reporting across SSA. DHIS2 integration is live in Ghana and Malawi. NHIMA integration is completing in Zambia. NHIA integration is on the roadmap for Nigeria. For countries where a live national platform does not yet exist, Ksatria generates the standard report formats required by health ministries. Confirm your country-specific requirements during the demo.

Ksatria’s EMR operates under an ISO 27001-certified security management system, with role-based access controls and robust audit logging.
